Thirty-one wet cartons out of 240 came off a pallet in Rotterdam on a Thursday morning. The buyer sent four photographs on WhatsApp, all taken after the pallet had been hosed down and re-stacked, and asked for a credit on the full consignment. The supplier had a strong case. It went nowhere, because the only evidence of what arrived was a picture of a clean wet floor.
Leakage claims are won or lost in the first twenty minutes after the container door opens, and almost never on the merits of the film. Here is what a file needs to survive a deduction.
Four frames, in this order: the sealed pallet with the shipping label legible, the same pallet with the stretch wrap cut but the cartons still stacked, the individual wet carton in place showing which face was down, and a close-up of the pack itself with the batch code readable. Timestamps on, location on if the phone allows it. If the cartons are wet, note whether the water is on the outside of the case or has reached the product — that distinction decides whether this is a packaging claim or a total loss.
The single fastest way to kill a claim is to move the pallet into a dry area and unpack it there. Once the wet cartons are separated, you cannot show whether the water came from above, from the packs, or from a container roof leak that started in the Bay of Bengal.
An empty or partially emptied pack tells you where the failure is. Weigh five suspect packs and five from a dry carton on a kitchen scale to the gram. A 500 g nominal pack that reads 410 g has lost 18 percent of its contents, which is a seal or film failure. A pack that reads 505 g has not leaked at all, and the water in the carton came from condensation — a different conversation, and one the supplier will win.
Keep the leaked packs, unopened, in a sealed bag. Do not refreeze them. A pack that has been through another freeze cycle cannot be inspected for the seal channel that failed, and most labs will tell you so in writing.
Ask for the fifth item before you order, not after. A supplier who cannot produce a retained sample from the batch has no way to prove the packs were sound when they left, and neither do you.
Most packaging claims have a notification window of seven days from receipt, sometimes fourteen. That is shorter than the time it takes a distributor to hear back from their own customer. If you are the middle party, log the damage internally on the day of receipt and notify your supplier the same day with photographs attached, even if the commercial conversation has not started. A notification is not a claim; it preserves your right to make one.
Keep the file in one place and one format. In practice the doomed claims are the ones where the photos are on a phone that has since been wiped and the logger data lives in an email chain between three forwarders. A single folder per consignment, named with the bill of lading number, holding the four photos, the logger export and the packing sheet, takes ten minutes at receiving and turns a negotiation into a formality.
The one thing worth doing this week: put a one-page receiving protocol in the hands of whoever opens the door at destination, with the four photo frames listed by name. If you are specifying packs for a new lane, the SAP powder range page lists the seal and film options that reduce the risk in the first place.
